In this article, we’ll start by using an example connection to give you an overview of how you can link, synchronize, standardize, import, export, archive, and update data from two systems.
In this setup, we’ve linked ChurchTools with Optigem and configured three different tasks, each with two actions.
Task A – Link and Standardize All People
- All existing contacts in ChurchTools will be linked to the corresponding contacts in Optigem.
- The selected characteristics of these individuals are standardized according to the specified criteria.
- This task is performed manually once.
Task B – Import people with specific characteristics and update existing records
- The sync imports employees who were not previously in the system—with specific attributes—from Optigem into ChurchTools.
- In the second step, the task compares the existing entries with one another and updates the selected properties according to the chosen specifications.
- This job will not actually be carried out; it is only a simulation for testing purposes.
Task C – Export New Members of a Group and Archive Deleted Members
- This task is limited to individuals who are part of a selected group. In the first step, the sync exports newly added individuals along with the selected data to Optigem.
- The sync in ChurchTools then archives the individuals who have since been deleted from Optigem.
- This task runs automatically every day, so the data for these groups is always up to date.
