How to export agendas to projection software?

ChurchTools supports the export of agendas to the presentation software Songbeamer, ProPresenter 5, 6, and 7, and OpenSong.

Depending on the software, you have the option to export song files, add the selected arrangement to the file names, or add song categories as subfolders.

Requirements for Export #

1. The appropriate projection software has been installed.
2. The songs are set up in both ChurchTools and the projection software and have exactly the same title.

Export the agenda for the projection software #

First, open the relevant Agenda and click ” Export for presentation software” in the menu on the left.

Next, select the desired software (1) from the drop-down menu. Finally, click Export (2).

Export Options #

Before exporting, you can select various export options. These vary depending on the presentation software you’ve selected. You can choose to export song files, append the selected arrangement to the filenames, or add song categories as subfolders. You select these options using checkboxes directly during the export process.

Export Song Files #

If you select this option, the exported Agenda file will also include all the song files stored in the arrangements. This means you no longer need to store them on the presentation computer. This requires that the corresponding song files be stored in the songs.

Possible error messages #

1) A song does not appear after export #

• First, you should check that the songs have exactly the same titles. Be careful not toswitch tracksby accident!
• For SongBeamer, the following applies:
  Songs must not be located in subfolders; instead, they must follow the default path:
  Correct: “…Documents/SongBeamer/Songs”
  Incorrect: “…Documents/EFG-Freihausen/SongBeamer/Songs”
• For ProPresenter 7, see:
  Unfortunately, importing songs into ProPresenter 7 currently does not work if the song file is not included in the Agenda file but is linked to a file in your local song library on your computer. We’re working on making this process more user-friendly. As a workaround, however, you can embed the song files directly into the Agenda files. To do this, upload the ProPresenter song file from your local library into the song arrangement in ChurchTools. Once that’s done, when exporting the Agenda, enable the “Export Song Files” option.
  
  

  If this option is enabled and a song file has been uploaded to the arrangement, it will be embedded in the ProPresenter export file, and ProPresenter 7 will be able to load it. One advantage of this method is that presenters don’t need to have the song files in their library, so you can simply share the Agenda file, and it should work on any device that’s used.
