The Events module in ChurchTools is responsible for planning events and church services. To ensure that the right people are on stage on Sunday, you can manage the service planning here. To do this, you have already entered the people in the Persons module in the respective service groups as employees. You can now use these groups as a data source in the Events module.
This guide explains the steps you need to take to be able to use all service groups in the Events module.
Roles and Role categories #
First of all, let’s clarify the terms Roles and Role categories.
Role – A role in ChurchTools is a function in an event. For example, sermon is a role that can be filled or musicians. All roles are maintained in the Events module in the master data. A role can be linked to one or more groups from the Groups module. This allows people from the groups to be selected as suggestions when planning services.
Role categories – A Role category in the Events module is a collection of several roles. For example, the roles service leadership and sermon are combined in the role categories Program. This creates clarity.
Maintain roles #
Role categories and Roles have already been created in ChurchTools. As an admin, you can maintain these under Events > Master data. The important steps for creating a new service or adapting an existing one(YouTube) are listed here.
- Select Roles in the master data.
- Open an existing service or create a new Roles.
- Enter a name: What is the name of the Roles?
- Assign it to a Role categories.
- Under Group assignment, link the duty group/s from the Groups module: The group members are then suggested during duty scheduling.
- Make further settings, e.g. whether the Roles may be canceled.
These are the important steps to prepare the Events module for duty scheduling. Further information is available on the help page and in the YouTube tutorials.
