The data that is important for the further processing of personal data is stored in the master data of the Persons core module.
You can access it by calling up the Persons module and switching to the master data on the right.
There are fields in the master data that appear again and again:
- ID – Indicates the actual database ID. This cannot be changed as it is specified by the database. An ID is always unique for each table.
- Sorting – This can be used to change the order in which the fields are displayed in the application. The higher the value, the further down in the sequence the field is displayed. Negative values may also be used.
Range #
An area is a subdivision of a location that has its own management structure and list of people. If this is the case for you, you can add one or more areas to the standard community list area in the master data.
You can read how to do this in our instructions for creating new areas.
Follow-up #
The follow-ups define different procedures. For example, a different follow-up makes sense in small groups than when accompanying a new person in the community. The follow-ups can be used in any Groups.
Permission to comment #
Comments are added when follow-ups are carried out. You can assign these to a so-called comments viewer (also found in the master data list), which defines which people are allowed to see the comments.
Follow-up intervals #
The steps/tasks to be completed are added here for the follow-ups.
- Follow-up
Here you select the follow-up type for which you want to store a step/task. - Number – What number is assigned to this step/task?
- Number of days difference
After how many days should this step become active? - Info – Can enter additional information texts which are then displayed when the follow-up is called up. HTML text with links to longer texts can also be stored here.
Person fields #
You can use person fields to edit the selection of fields.
Personal status #
The person statuses describe the relationships of people to your congregation. Each person always has exactly one status in ChurchTools: Member, Friend, Prospect….
In our guide, you can find out how to adapt the person status to the structures in your municipality.
Security level #
The security level determines how sensitive a piece of information is. For more information, see Security level.
