{"id":9376,"date":"2024-01-30T11:14:42","date_gmt":"2024-01-30T10:14:42","guid":{"rendered":"https:\/\/churchtools.academy\/?post_type=docs&#038;p=9376"},"modified":"2025-09-02T10:21:45","modified_gmt":"2025-09-02T09:21:45","password":"","slug":"settings-for-e-mail","status":"publish","type":"docs","link":"https:\/\/churchtools.academy\/en\/help\/system-settings\/communication-system-settings\/settings-for-e-mail\/","title":{"rendered":"Settings for E-mail"},"content":{"rendered":"\n<p>In the <em>System settings<\/em> under <em>Communication<\/em>, you set for the <strong>e-mail dispatch (1)<\/strong> whether automatic System e-mails (service requests, booking requests&#8230;) should be sent or not. For groups and resources, you can additionally set the e-mail dispatch under <em>Modules<\/em>.<\/p>\n\n\n\n<p>Below this, you specify the <strong>e-mail server (2)<\/strong> via which the e-mails are sent. By default, our <em>ChurchTools e-mail server<\/em> is used for sending e-mails. This way everything runs automatically and you don&#8217;t have to worry about anything. Alternatively, you can use your <em>own e-mail server<\/em> through which e-mails are sent from ChurchTools. We recommend that you use the ChurchTools e-mail server, especially if you are not so familiar with it . We explain the two options in more detail below.<\/p>\n\n\n\n<p>If you follow our recommendation, you do not need to enter the <strong>E-mail address of site (3)<\/strong> in the upper field on the left-hand side. As of v3.98, &#8216;noreply@churchtools.de&#8217; is automatically entered in this case. If you use your own e-mail server, enter a sender address here that matches your e-mail server.<\/p>\n\n\n\n<p>In the lower field, enter the <strong>E-mail address of admins (4)<\/strong>. This is the e-mail address to which users write when they click on Contact Admin in the Help menu:<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.church.tools\/images\/158071\/9015181bc57fc52769d44908da19955e6efa353d5ec7298d823593b41c40cbb1?fit=max&amp;fm=png&amp;h=0&amp;w=940\" alt=\"\"\/><\/figure>\n\n\n\n<p>Of course, you can have more than one address if you have a team in the church. In this case, separate the individual addresses with commas.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/help.church.tools\/images\/158074\/cb077c0d957cc826a54b9e7553dc331c7844e71627635ae2d931a7d71b014064?fit=max&amp;fm=png&amp;h=0&amp;w=940\" alt=\"\"\/><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\">Option 1 &#8211; The simple variant &#8211; Use ChurchTools e-mail server<\/h2>\n\n\n\n<p><strong>System e-mails<\/strong> from ChurchTools come from the address <code>noreply@churchtools.de<\/code>. A reply to these e-mails is <em>not<\/em> possible.<\/p>\n\n\n\n<p><strong>Manually sent e-mails<\/strong> (e.g. via Contact Persons in Persons &amp; Groups) also have the &#8220;noreply&#8221; sender, but additionally contain the information that a reply e-mail goes to the real sender. When someone clicks on &#8220;Reply&#8221; in their e-mail programme, the address of the real person is therefore automatically entered as the recipient. This means that e-mails can also be answered directly without the sender being manipulated.<\/p>\n\n\n\n<p><strong>E-mail settings are automatically checked<\/strong> when the scheduled tasks run through.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Option 2: Use your own e-mail server and your own sender e-mail<\/h2>\n\n\n\n<p>In this case, you can of course also use the <strong>e-mail server<\/strong> directly, which is usually included with a website.<\/p>\n\n\n\n<p>It is also possible to use <strong>other e-mail addresses<\/strong> from gmail.com, gmx.de, web.de&#8230;. <em>if<\/em> the SMTP-servers of these sites are used. (You can find the server data at the provider or you can google for it, e.g. &#8220;settings gmx.de e-mail server&#8221;).
