{"id":9376,"date":"2026-04-21T12:00:18","date_gmt":"2026-04-21T11:00:18","guid":{"rendered":"https:\/\/churchtools.academy\/?post_type=docs&#038;p=9376"},"modified":"2026-05-05T11:21:05","modified_gmt":"2026-05-05T10:21:05","password":"","slug":"settings-for-e-mail","status":"publish","type":"docs","link":"https:\/\/churchtools.academy\/en\/help\/system-settings\/communication-system-settings\/settings-for-e-mail\/","title":{"rendered":"E-mail settings"},"content":{"rendered":"\n<p>In the <em>System settings<\/em> under <em>Communication<\/em> and e-mail, you configure general e-mail settings, such as the e-mail address of your ChurchTools admin.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Sending system e-mails<\/h2>\n\n\n\n<p>First, you set whether or not automatic <em>system e-mails<\/em> should be <em>sent<\/em> (1). This means that e-mails, e.g. for invitations or registration for ChurchTools as well as for service or booking requests, are sent automatically.   <\/p>\n\n\n\n<aside class=\"wp-block-group ct-box ct-box-blue has-background is-vertical is-layout-flex wp-container-core-group-is-layout-002f1c27 wp-block-group-is-layout-flex\" style=\"border-radius:8px;border-left-color:#22c55e;border-left-width:0.5rem;background-color:#dcfce7;margin-top:var(--wp--preset--spacing--60);margin-bottom:var(--wp--preset--spacing--60)\">\n<p style=\"margin-top:0.5rem;margin-right:0.5rem;margin-bottom:0rem;margin-left:0.5rem\"><strong>Tip<\/strong><\/p>\n\n\n\n<p style=\"margin-top:0rem;margin-right:0.5rem;margin-bottom:0.5rem;margin-left:0.5rem\">You can make additional settings for posts, groups, events and resources under <em>Modules<\/em> for e-mail delivery.<\/p>\n<\/aside>\n\n\n\n<h2 class=\"wp-block-heading\">E-mail server  <\/h2>\n\n\n\n<p>Below this, you specify which <em>e-mail server<\/em> (2) is used to send the e-mails.  <\/p>\n\n\n\n<p>The default setting is that our <em>ChurchTools e-mail server is used<\/em> for sending. This means that everything runs automatically and you don&#8217;t have to worry about anything. <\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>System e-mails from ChurchTools will then come from the address <code><em>noreply@churchtools.de<\/em><\/code>. It is <em>not<\/em> possible to reply to these e-mails.   <\/li>\n\n\n\n<li>E-mails sent manually, e.g. via the <em>Contact people<\/em> function in the Persons module, also have the <em>noreply sender<\/em>, but also contain the information that a reply e-mail is being sent to the real sender. If someone clicks on &#8220;Reply&#8221; in their e-mail program, the address of the real person is automatically entered as the recipient. This means that e-mails can also be replied to directly without the sender being changed.  <\/li>\n\n\n\n<li>The e-mail settings are automatically checked when the scheduled tasks run through.<\/li>\n<\/ul>\n\n\n\n<p>Alternatively, you can <em>use your own e-mail server<\/em> to send e-mails from ChurchTools. We explain this option in more detail below. <\/p>\n\n\n\n<aside class=\"wp-block-group ct-box ct-box-blue has-background is-vertical is-layout-flex wp-container-core-group-is-layout-002f1c27 wp-block-group-is-layout-flex\" style=\"border-radius:8px;border-left-color:#3e70ce;border-left-width:0.5rem;background-color:#f3f5f7;margin-top:var(--wp--preset--spacing--60);margin-bottom:var(--wp--preset--spacing--60)\">\n<p style=\"margin-top:0.5rem;margin-right:0.5rem;margin-bottom:0rem;margin-left:0.5rem\"><strong>Note<\/strong><\/p>\n\n\n\n<p style=\"margin-top:0rem;margin-right:0.5rem;margin-bottom:0.5rem;margin-left:0.5rem\">We recommend that you use the ChurchTools e-mail server, especially if you are not very familiar with it.<\/p>\n<\/aside>\n\n\n\n<h2 class=\"wp-block-heading\">Contact admin<\/h2>\n\n\n\n<p>Finally, enter the e-mail address at which an <em>admin<\/em> can be <em>contacted<\/em> (3). Of course, you can also enter several addresses if you have a team in the congregation. In these constellations, the sending of mass e-mails is often prevented by the web hosting providers for security reasons (especially to prevent SPAM).<br><br>If you still want to use your own e-mail server to send e-mails from ChurchTools from a personalized e-mail address, we strongly recommend that you seek advice from a specialist with sufficient knowledge of your own e-mail server.<\/p>\n<\/aside>\n\n\n\n<p>If you are sure that your e-mail server meets the requirements of ChurchTools and you want to use it, select under <em>E-mail server<\/em> (see 2 in the screenshot above) that you want to use your own e-mail server.<\/p>\n\n\n\n<p>Here you enter your <em>server<\/em> data and select the <em>encryption<\/em>.
