{"id":92129,"date":"2024-07-19T12:28:35","date_gmt":"2024-07-19T10:28:35","guid":{"rendered":"https:\/\/churchtools.academy\/help\/non-knowledgebase\/uncategorized\/event-planning-with-churchtools\/"},"modified":"2026-09-25T09:15:54","modified_gmt":"2026-09-25T07:15:54","password":"","slug":"event-planning-with-churchtools","status":"publish","type":"docs","link":"https:\/\/churchtools.academy\/en\/help\/churchtools-modules\/planning-events\/event-planning-with-churchtools\/","title":{"rendered":"Event planning with ChurchTools"},"content":{"rendered":"\n<p class=\"wp-block-paragraph\">A key feature of ChurchTools is event planning: from scheduling events on the calendar to booking the necessary resources, assigning staff, and creating an agenda.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In this tutorial, we&#8217;ll show you how to use all these ChurchTools features to plan your event quickly and easily.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Module: Preparing for <em>events<\/em><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">First, you&#8217;ll need to make a few preparations in the <em>Events<\/em> module to ensure that everything runs smoothly afterward.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Edit master data<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">In the module&#8217;s <em>master data<\/em>, you must create all <em>the necessary roles<\/em> and <em>service (role) categories<\/em>. You&#8217;ll need these later when you want to assign your employees to roles and enter information for specific teams in the Agenda. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You can find more information about <em>roles and role categories<\/em>, as well as a link to instructions on how to create them, <a href=\"https:\/\/churchtools.academy\/en\/help\/churchtools-modules\/administration-events\/roles-and-role-categories\/\">here<\/a>.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Create an event template<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Next, you should create an <em>event template<\/em>. In it, you can list the roles needed for your event, the event&#8217;s name, and any other information as needed. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Find out how to create an <em>event template<\/em> <a href=\"https:\/\/churchtools.academy\/en\/help\/churchtools-modules\/administration-events\/how-to-create-an-event-template\/\" target=\"_blank\" rel=\"noreferrer noopener\">here<\/a>.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Create an agenda template<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Your final step in preparing is to create an <em>agenda template<\/em>.<br>In it, you can save program items, songs, or important information for the staff.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You can find our instructions <a href=\"https:\/\/churchtools.academy\/en\/help\/churchtools-modules\/administration-events\/how-to-create-an-agenda-template\/\">here<\/a>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Create an appointment<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Now you can start planning your event. To do this, create a new event in <em>the calendar<\/em>. If you need specific resources, such as technical equipment or rooms, you book them directly. You can also have the calendar automatically create the corresponding event for your appointment, which you can then use for further planning.   <\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><a href=\"https:\/\/churchtools.academy\/en\/help\/churchtools-modules\/adding-appointments\/how-do-i-create-an-appointment-including-resource-booking-and-event\/\">Here&#8217;s<\/a> how to create a new appointment, perform all necessary resources at once, and have the corresponding event created automatically.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Fill roles<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Next, switch to the Events module to continue editing the event you created.<br>To do this, hover over the calendar entry and click the <em>&#8220;Event&#8221;<\/em> button. To do this, select <em>the Agenda template<\/em> you created earlier so that the most important program items are already filled in. Then make any changes specific to this event.  <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You can find out how to edit the agenda <a href=\"https:\/\/churchtools.academy\/en\/help\/churchtools-modules\/planning-events\/how-to-edit-an-agenda\/\">here<\/a>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Inform employees<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The planning for your event is now completed, and in the final step, you can reach out to your employees to, for example, let them know they\u2019ve been assigned to the event, send them the <em>Agenda<\/em>, and answer any individual questions in <em>the event chats<\/em>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You can use (automatic) e-mails and the ChurchTools chat for this.
