{"id":89746,"date":"2025-08-15T07:11:28","date_gmt":"2025-08-15T06:11:28","guid":{"rendered":"https:\/\/churchtools.academy\/help\/non-knowledgebase\/uncategorized\/how-do-i-process-booking-requests\/"},"modified":"2026-08-14T12:51:15","modified_gmt":"2026-08-14T11:51:15","password":"","slug":"how-do-i-process-booking-requests","status":"publish","type":"docs","link":"https:\/\/churchtools.academy\/en\/help\/churchtools-modules\/process-and-manage-resource-requests\/how-do-i-process-booking-requests\/","title":{"rendered":"How do I process booking requests?"},"content":{"rendered":"\n<p class=\"wp-block-paragraph\">Anyone who manages bookings,<\/p>\n\n<ul class=\"wp-block-list\">\n<li>would like to be informed about requests as quickly as possible and be able to keep track of them.<\/li>\n\n\n\n<li>must confirm and cancel bookings, and possibly delete them as well<\/li>\n\n\n\n<li>must be able to track the history of acceptances and rejections<\/li>\n\n\n\n<li>Assign a specific resource to general requests (&#8220;We need a room for a seminar with 50 people&#8221; &gt; Room 3)  <\/li>\n<\/ul>\n\n<h2 class=\"wp-block-heading\">Make Users the Person in Charge and Coordinator<\/h2>\n\n<p class=\"wp-block-paragraph\"><strong>Basic Permission<\/strong>: <strong><br \/> A person responsible for coordinating rooms needs the appropriate permissions. In addition to the &#8220;View Resources&#8221; permission, they also need the &#8220;Edit, Reject, etc., All Requests (administer bookings)&#8221; permission. Since bookings can also be created from the calendar, the permission \u201cCreate, edit, etc., appointments in individual calendars (edit category)\u201d is additionally required for that calendar.<\/strong>  <\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Special Permission<br \/><\/strong>For <strong>each individual resource, a person in charge can be specified in the master data<\/strong> (Resources &gt; Master Data).<br \/>There, you may already see people in charge listed, or the field may be empty:<\/p>\n\n<figure class=\"wp-block-image size-full\"><a href=\"https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-272.png\"><img fetchpriority=\"high\" decoding=\"async\" width=\"794\" height=\"480\" src=\"https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-272.png\" alt=\"\" class=\"wp-image-17500\" srcset=\"https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-272.png 794w, https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-272-300x181.png 300w, https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-272-768x464.png 768w, https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-272-360x218.png 360w\" sizes=\"(max-width: 794px) 100vw, 794px\" \/><\/a><\/figure>\n\n<p class=\"wp-block-paragraph\">For each resource, you can now enter the user ID of the person responsible (currently, it is not possible to filter by name or enter names).<\/p>\n\n<figure class=\"wp-block-image size-full\"><a href=\"https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-273.png\"><img decoding=\"async\" width=\"598\" height=\"685\" src=\"https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-273.png\" alt=\"\" class=\"wp-image-17503\" srcset=\"https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-273.png 598w, https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-273-262x300.png 262w, https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-273-360x412.png 360w\" sizes=\"(max-width: 598px) 100vw, 598px\" \/><\/a><\/figure>\n\n<p class=\"wp-block-paragraph\">This administrator receives e-mail notifications about inquiries, sees the widget for pending booking requests on the Home page, and has the permission <em>to edit, decline, and perform other actions on all inquiries (administer bookings)<\/em>.<\/p>\n\n<h2 class=\"wp-block-heading\">Respond to and Process Booking Requests<\/h2>\n\n<p class=\"wp-block-paragraph\">If a person has permission to process requests, there are several ways to do so:<\/p>\n\n<p class=\"wp-block-paragraph\">In the Resources module itself, you can quickly respond to a request by hovering your mouse over the request and then clicking the checkmark (accept) or the X (decline).<\/p>\n\n<figure class=\"wp-block-image size-full\"><a href=\"https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-274.png\"><img decoding=\"async\" width=\"324\" height=\"115\" src=\"https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-274.png\" alt=\"\" class=\"wp-image-17505\" srcset=\"https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-274.png 324w, https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-274-300x106.png 300w\" sizes=\"(max-width: 324px) 100vw, 324px\" \/><\/a><\/figure>\n\n<p class=\"wp-block-paragraph\">Of course, you can also open the entry<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Under &#8220;Status,&#8221; you can manually change the resource status<\/li>\n\n\n\n<li>In this exceptional case, however, you can only change this status and not any other details. This is because the resource is linked to a calendar entry and must be edited there. <\/li>\n\n\n\n<li>At the bottom, you can see the history\u2014who requested, confirmed, or rejected what and when.<\/li>\n\n\n\n<li>Below the history, you also have the option to delete the entry entirely\u2014whether it&#8217;s an appointment or a booking.<\/li>\n<\/ul>\n\n<figure class=\"wp-block-image size-full\"><a href=\"https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-276.png\"><img loading=\"lazy\" decoding=\"async\" width=\"887\" height=\"916\" src=\"https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-276.png\" alt=\"\" class=\"wp-image-17510\" srcset=\"https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-276.png 887w, https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-276-291x300.png 291w, https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-276-768x793.png 768w, https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-276-360x372.png 360w\" sizes=\"(max-width: 887px) 100vw, 887px\" \/><\/a><\/figure>\n\n<h2 class=\"wp-block-heading\"><strong>Get notified about booking requests and changes<\/strong><\/h2>\n\n<p class=\"wp-block-paragraph\">Anyone who coordinates bookings wants quick access to the latest news.<\/p>\n\n<p class=\"wp-block-paragraph\">There are four options for this:<\/p>\n\n<ol class=\"wp-block-list\">\n<li>Overview on the Home Page<\/li>\n\n\n\n<li>Overview in the Resources Module<\/li>\n\n\n\n<li>An e-mail subscription with notifications about inquiries.<\/li>\n\n\n\n<li>A calendar subscription that allows you to sync all your bookings with your personal calendar (Outlook, mobile devices, etc.).<\/li>\n<\/ol>\n\n<h3 class=\"wp-block-heading\">1) To-do list on the Home page<\/h3>\n\n<p class=\"wp-block-paragraph\">The Home page displays a list of open requests. Clicking on a request takes you directly to the booking page: <\/p>\n\n<figure class=\"wp-block-image size-full\"><a href=\"https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-277.png\"><img loading=\"lazy\" decoding=\"async\" width=\"467\" height=\"437\" src=\"https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-277.png\" alt=\"\" class=\"wp-image-17512\" srcset=\"https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-277.png 467w, https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-277-300x281.png 300w, https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-277-360x337.png 360w\" sizes=\"(max-width: 467px) 100vw, 467px\" \/><\/a><\/figure>\n\n<h3 class=\"wp-block-heading\">2) Overview in the module<\/h3>\n\n<p class=\"wp-block-paragraph\">If you want to respond to multiple bookings, it&#8217;s best to go directly to the Resources module and filter for open requests in the bottom-left corner under <em>&#8220;Request Status&#8221;<\/em>:<\/p>\n\n<figure class=\"wp-block-image size-full\"><a href=\"https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-279.png\"><img loading=\"lazy\" decoding=\"async\" width=\"350\" height=\"195\" src=\"https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-279.png\" alt=\"\" class=\"wp-image-17517\" srcset=\"https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-279.png 350w, https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-279-300x167.png 300w\" sizes=\"(max-width: 350px) 100vw, 350px\" \/><\/a><\/figure>\n\n<p class=\"wp-block-paragraph\">Below the status, there is a &#8220;Selected&#8221; filter. When you hover your mouse over a resource, a small calendar icon appears. Clicking on it opens the subscription window you\u2019re familiar with from the Calendar module. We explain this in more detail in the article <a href=\"https:\/\/churchtools.academy\/en\/help\/churchtools-modules\/subscriptions-reminders\/how-to-subscribe-to-a-calendar\/\">\u201cHow do I subscribe to a calendar?\u201d<\/a>   <\/p>\n\n<p class=\"wp-block-paragraph\">This way, you can stay informed quickly even outside of ChurchTools and keep a good overview.  <\/p>\n\n<figure class=\"wp-block-image size-full\"><a href=\"https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-283.png\"><img loading=\"lazy\" decoding=\"async\" width=\"439\" height=\"260\" src=\"https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-283.png\" alt=\"\" class=\"wp-image-17525\" srcset=\"https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-283.png 439w, https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-283-300x178.png 300w, https:\/\/churchtools.academy\/wp-content\/uploads\/2024\/05\/image-283-360x213.png 360w\" sizes=\"(max-width: 439px) 100vw, 439px\" \/><\/a><\/figure>\n\n<h2 class=\"wp-block-heading\">Special Cases: Automatic Confirmation and Multiple Bookings<\/h2>\n\n<p class=\"wp-block-paragraph\">For resources, there are two special settings that are enabled in the master data.<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Automatic Confirmation<\/strong><\/p>\n\n<ul class=\"wp-block-list\">\n<li><strong>If not enabled:<\/strong> The resource is not automatically confirmed. An administrator must confirm the resource request accordingly. (Useful for room reservations, etc.).    <br \/>When a request is submitted, e-mails are automatically sent to the administrator and the person who submitted the request.<\/li>\n\n\n\n<li><strong>If enabled:<\/strong> The resource is automatically confirmed. Each requester is responsible for ensuring that the resource is not already reserved. (E.g., for projectors).    <br \/>The person making the request receives a booking confirmation via e-mail, and the administrator is notified that the resource has been booked.<\/li>\n<\/ul>\n\n<p class=\"wp-block-paragraph\"><strong>Multiple Bookings<\/strong><\/p>\n\n<ul class=\"wp-block-list\">\n<li><strong><strong>Multiple Bookings<\/strong><\/strong> are intended, for example, for requests from employees in larger congregations or conferences who are not fully familiar with what resources are available on-site. For example, an office assistant can then take over the specific planning. The employee who submitted the request will then automatically receive an email regarding the specific resource.    <br \/>It makes sense here to create resources that are general in nature and can later be planned in detail by someone in the office. For example, a resource such as \u201cRoom 10\u202650 people,\u201d \u201cRoom 51\u2026100 people,\u201d or \u201cProjector.\u201d     <\/li>\n\n\n\n<li><strong><strong>Multiple bookings<\/strong><\/strong> therefore do not cause a conflict.
