{"id":70982,"date":"2026-06-22T11:10:06","date_gmt":"2026-06-22T10:10:06","guid":{"rendered":"https:\/\/churchtools.academy\/help\/non-knowledgebase\/uncategorized\/how-do-i-activate-and-use-check-in-codes\/"},"modified":"2026-07-06T16:25:33","modified_gmt":"2026-07-06T15:25:33","password":"","slug":"how-do-i-activate-and-use-check-in-codes","status":"publish","type":"docs","link":"https:\/\/churchtools.academy\/en\/help\/churchtools-modules\/preparations-check-in\/how-do-i-activate-and-use-check-in-codes\/","title":{"rendered":"How do I activate and use check-in codes?"},"content":{"rendered":"\n<p class=\"wp-block-paragraph\">If you use check-in codes for your group, you can quickly track who is present at a group meeting.<\/p>\n\n<p class=\"wp-block-paragraph\">In this article, we&#8217;ll show you how to activate check-in codes, select the roles for which they should be created, and\u2014if you&#8217;d like\u2014set up automatic delivery.<\/p>\n\n<h2 class=\"wp-block-heading\">1. Call up group<\/h2>\n\n<p class=\"wp-block-paragraph\">Open the &#8221; <em>Groups<\/em> &#8221; module and select the group for which you want to enable check-in codes for its meeting.<\/p>\n\n<p class=\"wp-block-paragraph\">This setting is always configured for a specific group. If you want multiple groups to use check-in codes, you&#8217;ll need to enable them for each group individually. <\/p>\n\n<h2 class=\"wp-block-heading\">2. Open Meeting Settings<\/h2>\n\n<p class=\"wp-block-paragraph\">In the group menu, open the <em>Settings<\/em> section (1) and then select <em>Meetings<\/em> (2). Here, you can specify how your group&#8217;s meetings are generally set up and used. Activate the check-in code<\/h2>\n\n<p class=\"wp-block-paragraph\">In the meeting settings, scroll down to the <em>&#8220;Check-in Code&#8221;<\/em> section and enable the feature using the toggle (3). This allows you to generate check-in codes for people in these groups, which can then be sent manually or downloaded. Optionally, you can have them sent automatically. These codes can later be presented when recording attendance and scanned using the ChurchTools app.   <\/p>\n\n<h2 class=\"wp-block-heading\">4. Select Roles<\/h2>\n\n<p class=\"wp-block-paragraph\">Next, use the respective switches to specify which <em>group roles<\/em> (4) should receive a check-in code. For example, if you select only the <em>\u201cParticipant\u201d<\/em> role, only people with that role will receive a check-in code. People with roles that are not selected will not receive a code. This is particularly helpful if you do not want to track the attendance of all group members or if certain roles\u2014such as leaders or staff\u2014should be treated differently.   <\/p>\n\n<h2 class=\"wp-block-heading\">5. Optional: Enable automatic e-mail delivery<\/h2>\n\n<aside class=\"wp-block-group ct-box ct-box-blue has-background is-vertical is-layout-flex wp-container-core-group-is-layout-1ccdadb1 wp-block-group-is-layout-flex\" style=\"border-radius:8px;border-left-color:#22c55e;border-left-width:0.5rem;background-color:#dcfce7;margin-top:var(--wp--preset--spacing--60);margin-bottom:var(--wp--preset--spacing--60)\">\n<p class=\"wp-block-paragraph\" style=\"margin-top:0.5rem;margin-right:0.5rem;margin-bottom:0rem;margin-left:0.5rem\"><strong>Tipp<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\" style=\"margin-top:0rem;margin-right:0.5rem;margin-bottom:0.5rem;margin-left:0.5rem\">Automatically sending check-in codes can be especially helpful for regular meetings. So if your group meets regularly and you haven&#8217;t set this up yet, this is a good opportunity to do so right away.   <\/p>\n<\/aside>\n\n<p class=\"wp-block-paragraph\">Optionally, use the switch to enable <em>automatic<\/em> e-mail <em>delivery<\/em> (5). ChurchTools sends the codes according to your settings; as a congregation, you determine who should receive the codes. <\/p>\n<\/aside>\n\n<h2 class=\"wp-block-heading\">Check if the code was delivered<\/h2>\n\n<p class=\"wp-block-paragraph\">Users of the <strong>ChurchTools app<\/strong> can find their code right in the overview of their group.<\/p>\n\n<p class=\"wp-block-paragraph\">In the <strong>group members table<\/strong>, you can see in the <em>Check-in Code<\/em> column (1) whether and when the code was sent or downloaded, and whether the code needs to be sent manually because automatic delivery is not enabled or no email address has been entered. There, you can use the <em>envelope icon<\/em>(2) to resend the code if necessary, or use the<em>download icon<\/em> to download it.
