Troubleshooting: Leader doesn’t get notified about changes in a group via e-mail

There can be several reasons why a group member with the status “Leader” doesn’t receive e-mails about changes in their group. Use this step-by-step troubleshooting guide to find and fix the problem.

1. System Settings for System E-mails #

1.1 Open System Settings #

Click on the tool icon (1) on the left of your profile picture and select System settings (2).

1.2 Enable System e-mails #

Navigate to Communication (3) and select E-mail (4). Make sure the checkbox for e-mail dispatch (5) is activated.

2. Activate e-mails for groups #

Stay in the System settings, navigate to Modules (6) and select Persons & Groups (7) on the left-hand side. In the Group settings, make sure that “Inform via e-mail about changes” (8) is selected.

3. Group settings #

3.1 Open group #

Open the Persons & Groups (9) module and switch to Groups (10). Open up the group you want to check by clicking on the name of the group (11). Open the Settings of the group by clicking on the pencil symbol (12) on the right.

3.2 Enable e-mails when changes are made #

In the pop-up window that opens, scroll down to Further settings and make sure that the checkmark Inform via e-mail about changes (13) is active. Don´t forget to Save!

4. Group-internal permissions #

4.1 Open permissions management #

Stay in the group overview. Open the permissions management for the group via Edit permissions (14).

4.2 Enable e-mail notifications for the role #

Scroll down to Group-internal permissions (15). In Persons & Groups (16) you will then find the Functions (17) section a little further down.

Check whether the checkmark Receive e-mails for changes (18) is set for the role in question.

5. Has the person logged in to ChurchTools before? #

5.1 Open person details #

Open the Persons & Groups (19) module and switch to Persons (20). Open the Detail view of the person by clicking on their Name (21).

5.2 Check last login #

In Permissions you can find the date and time when the person was last online (22). If there is no date there, the person has never been online. However, this is necessary in order to receive e-mails from ChurchTools. You can invite the person (again) so that they can log in and receive system e-mails in the future.
